WhatsApp Business App vs API: Decision Checklist and Migration Steps
On this page

The WhatsApp Business app vs API question usually comes up when the app starts to strain: too many chats for one phone, staff sharing a login, or no way to automate order updates. This article is the practical side of the decision. It gives you a checklist to score your own situation, the real costs on each side, and the exact steps to move a number from the app to the API without losing customers. For a side-by-side feature table, see our WhatsApp Business app vs API comparison.

Key takeaways

  • The app is free and suits one owner answering chats on a phone.
  • The API suits teams, automation, store integrations and campaigns to opted-in customers. Meta charges per message, and you pay for a platform.
  • If you tick four or more items on the checklist below, the API is probably worth it.
  • Moving a number to the API means removing it from the app first. App chat history does not move with it.
  • Plan the switch: templates approved, team trained and customers told, before you flip the number.

Decision checklist: should you move to the API?

Tick each statement that's true for your business:

  1. More than two people need to reply to WhatsApp chats.
  2. Customers sometimes wait hours because the person with the phone is busy.
  3. You have lost a lead or order because nobody followed up.
  4. You get the same 10 questions every day (price, delivery, hours).
  5. You run an online store and confirm orders, especially COD orders, by hand.
  6. You want to send updates or offers to more people than a broadcast list allows, or to people who haven't saved your number.
  7. You need to know who replied, how fast and what happened next.
  8. You run several WhatsApp numbers (branches, brands, sales and support).
  9. You run, or plan to run, Click-to-WhatsApp ads.
  10. Staff use personal phones for customer chats, and you worry about losing that history.
  11. You want customers to fill forms (lead details, appointment requests) inside WhatsApp.
  12. You want answers to go out at night without someone staying awake.

0–3 ticks: stay on the app for now, and tidy up labels and quick replies. 4–7 ticks: the API will likely pay for itself in saved time and recovered sales. Start with a small plan. 8+ ticks: you're already losing business to the app's limits.

What the API really costs

Meta's message fees

Meta bills your WhatsApp Business Account per message, by category (marketing, utility, authentication, service) and by the recipient's country code. Replies inside the 24-hour customer service window are cheaper than marketing templates, and from October 2026 Meta charges service messages above a monthly free allowance. Check Meta's pricing page for current rates, and see WhatsApp Business API pricing in Pakistan for a local breakdown.

The platform

Your platform subscription covers the inbox, automation, chatbot, Flows, AI and reports. ReploChat plans are billed monthly or yearly, and Meta's fees go straight to your WABA with 0% markup. Plan details are on pricing.

The hidden costs of staying on the app

  • Agent time spent answering the same questions by hand.
  • COD orders shipped without confirmation that come back as returns (RTO).
  • Leads that went quiet with no follow-up.
  • Customer history that leaves with a staff member's phone.

Use the method in measuring the ROI of WhatsApp automation to put numbers on these for your business.

When to stay on the WhatsApp Business app

  • You're a sole trader handling a few dozen chats a day yourself.
  • You don't send proactive messages beyond a small broadcast list.
  • You rely on app-only features such as Status updates to your contacts.
  • Your budget can't cover a subscription yet.

There's no shame in staying. Just set up labels, a greeting and quick replies so the switch is easier later.

Three businesses, three decisions

A home baker taking 15 orders a week

One person replies, there's no store and no team, and customers save the number anyway. Stay on the app. Use labels for order status and a greeting with the menu. Revisit when orders grow or someone else needs to answer.

A clothing store with a Shopify site and three staff

Several people answer, most orders are cash on delivery, and returns are expensive. Abandoned checkouts are common. Move to the API. The biggest gains are the shared inbox, COD confirmation and order updates.

A clinic with two receptionists

Patients ask the same questions about fees and timings, and appointment requests arrive at night. Move to the API for the shared inbox, an appointment-request Flow and AI answers from the business profile. Keep a human confirming every slot.

What changes for your customers

Very little, if you plan well. They message the same number and see your business name. The differences they notice are usually good ones: faster answers, out-of-hours replies, buttons and forms instead of long back-and-forth, and order updates without having to ask. One thing to explain to regular customers is that Status updates and some app-only features won't come from the API number.

Migration: moving from the app to the API step by step

Before the switch (1–2 weeks)

  1. Decide which number moves. Usually the one customers already know. You can also start the API on a new number and keep the old one on the app for a transition period.
  2. Export what you need from the app. Back up important chats and export your contacts (with consent status) to a spreadsheet. App chat history does not transfer to the API.
  3. Set up a Meta Business portfolio and start business verification if you plan to scale.
  4. Create your ReploChat workspace at /signup and fill in the business profile: services, prices, hours, policies and FAQs.
  5. Draft your templates (order update, follow-up, welcome back) so they're ready to submit as soon as the number is connected.
  6. Tell regular customers: "From Monday our WhatsApp gets an upgrade. Same number, faster replies from our whole team."

Switch day (about an hour)

  1. On the phone, open the WhatsApp Business app and delete the account for that number (in Settings → Account). This frees the number for the API.
  2. In ReploChat, click Connect WhatsApp, log in with Facebook in Meta's popup, choose your business portfolio, create or select the WhatsApp Business Account, and enter the number.
  3. Verify the number with the SMS or voice code, and set the display name (Meta reviews it).
  4. Add a payment method for the WABA in Meta.
  5. Send a test message from another phone and confirm it arrives in the inbox.

The full click-by-click guide is in Connect your WhatsApp account, and the wider process is in how to get the WhatsApp Business API.

First week on the API

  1. Import your contacts with labels, and mark opt-in status honestly.
  2. Submit and get your first templates approved.
  3. Turn on welcome and away messages, then test the AI assistant before switching it on.
  4. Invite your team, set permissions and choose auto-assignment.
  5. Add quick replies for your top questions.
  6. Connect Shopify or WooCommerce if you sell online.

A middle path: start the API on a second number

If you're nervous about moving your main number, connect a new number to the API first. Use it for order updates, COD confirmations and a support line printed on invoices, while the owner keeps the familiar number on the app. Once the team is comfortable and templates are approved, move the main number too, or keep both for different jobs. This costs a little more but removes most of the risk from the switch.

Common migration mistakes

  • Forgetting the 24-hour rule. On the API you can't send free text to a customer who last wrote three days ago. Use a template.
  • Blasting the whole imported list on day one. New numbers start with a low messaging limit, and an unexpected blast can hurt quality. Start with your most engaged contacts.
  • Not briefing the team. Run a 30-minute walkthrough of assignment, notes and resolve.
  • Leaving the business profile empty, so the AI has nothing to answer from.

FAQ

What's the difference between the WhatsApp Business app and the API?

The app is a free phone app for small-scale chatting. The API is Meta's platform for businesses that need multiple agents, automation, integrations and template campaigns. You use it through software, and Meta charges per message.

Is the WhatsApp Business API free or paid?

It's paid. Meta charges per message by category and country, and the platform has a subscription. The Business app is free.

Will I lose my chats when I move to the API?

Your app chat history doesn't move to the API, so back it up first. Your number, and therefore your customers' ability to reach you, stays the same.

Can I keep using the app on the same number after moving?

Plan for no. In ReploChat, a connected number runs on the API, and your team uses the ReploChat inbox and mobile app instead.

How long does migration take?

Connecting the number takes minutes with Embedded Signup. Allow a week or two before that for preparation: profile, templates, team and customer notice.

Do I get the green tick on the API?

Not automatically. Meta decides on verified badges. See WhatsApp green tick verification.
