App vs API

WhatsApp Business vs WhatsApp Business API: what is the difference?

The free WhatsApp Business app and the WhatsApp Business Platform (API) solve different problems. This guide explains the differences, the costs and when to switch.

WhatsApp Business vs WhatsApp Business API in one paragraph

The question of WhatsApp Business vs WhatsApp Business API comes down to who is replying. The WhatsApp Business app is a free app you install on a phone. One person (or a few people on linked devices) chats with customers by hand. The WhatsApp Business Platform, usually called the WhatsApp Business API, has no app of its own. Your number is connected to software, so a whole team, chatbots, AI and your online store can all use the same number at once. The app is free; the API charges per message and needs a software provider.

Neither is "better". The app is the right tool for a lot of small businesses. The API is the right tool once WhatsApp becomes a channel that several people and systems depend on.

The WhatsApp Business app: what it does well, and its limits

The app gives you a business profile (address, hours, description, catalog), labels, quick replies, a greeting message and an away message. For a shop owner who answers customers personally, that is often enough.

Its limits show up as you grow:

  • One account, few devices. The number lives on one phone, with a small number of linked devices. Several staff sharing one phone quickly gets messy: nobody knows who replied, and chats get missed.
  • Broadcast lists are small. Each broadcast list holds up to 256 contacts, and only people who saved your number receive the message, according to WhatsApp's Help Center.
  • Automation is basic. Greeting and away messages, but no branching chatbot, no AI that answers from your price list, no order messages from your store.
  • No reporting. You cannot see response times per agent or delivery rates per campaign.

The WhatsApp Business API: what changes

With the API, Meta hosts your number on its Cloud API and you use it through a provider's software. That unlocks:

  • Multiple agents on one number, with assignment, internal notes and a full history. See how a shared team inbox works.
  • Automation: keyword chatbots, AI replies, welcome and away messages, follow-up sequences and in-chat forms (WhatsApp Flows).
  • Template campaigns to opted-in customers, with per-recipient delivered, read and failed status. See campaigns.
  • Store integrations: order confirmations, COD confirmation, shipping updates and abandoned-cart reminders sent automatically.
  • Rules to follow. You can reply freely within 24 hours of the customer's last message. Outside that window you must use a template that Meta has approved. Read about message templates.

Messaging limits on the API

Meta limits how many unique customers you can start conversations with in a rolling 24 hours. As described on Meta for Developers in October 2026, new business portfolios start at 250, can reach 2,000 through business verification or by sending high-quality messages, and then scale automatically to higher tiers. Limits are shared by all numbers in a business portfolio. Replying to customers who message you first is not capped this way.

Is WhatsApp Business API free or paid?

The WhatsApp Business app is free. The API is paid, in two parts:

  1. Meta's message fees. Meta charges per message, by category (marketing, utility, authentication, service) and by the customer's country. Rates change, so check Meta's own pricing page for current rates.
  2. Software. You need a provider to use the API day to day. Providers charge a subscription and some add a margin to Meta's fees.

With ReploChat, you connect your own WhatsApp Business Account, Meta bills that account directly, and ReploChat adds 0% markup. Plans start at PKR 4,999 / $25 per month; see pricing.

When to switch from the app to the API

Switch when two or more of these are true:

  • More than one or two people need to answer customers on the same number.
  • You miss messages after hours, or answer the same questions all day.
  • You want to message hundreds or thousands of opted-in customers and see who read it.
  • You run an online store and want order and COD confirmations sent automatically.
  • You need to know who handled which chat and how fast.

If none of these apply, stay on the free app. It is a good product.

How to move your number from the WhatsApp Business app to the API

You can keep your existing number. With ReploChat, the number must be removed from the WhatsApp Business app before it is registered on the API; using the same number on the app and the API at the same time is not offered.

  1. Back up your chats in the app (Settings, Chats, Chat backup). Chat history does not move to the API.
  2. Prepare a Meta Business portfolio (formerly Business Manager). Business verification is recommended and raises your messaging limit.
  3. Delete the WhatsApp account from the app on that phone (Settings, Account, Delete my account). Wait a few minutes before the next step.
  4. Connect the number through your provider. In ReploChat this is one-click Embedded Signup: log in with Facebook, choose or create a WhatsApp Business Account and verify the number by SMS or call.
  5. Set up the basics: business profile, display name, welcome and away messages, and your first templates.
  6. Tell customers nothing changed. They keep messaging the same number.
After the switch, the number can no longer be used in the WhatsApp or WhatsApp Business app. If you want to keep chatting from a phone, use a provider with a mobile app, or a second number for personal use.

Which one is right for you?

Stay on the WhatsApp Business app if

  • You personally handle every customer chat on one phone.
  • You message small groups of regulars and do not need reports.
  • You do not want to pay per message.

Move to the WhatsApp Business API if

  • A team shares the work, or you need replies outside office hours.
  • You run campaigns to opted-in customers and want delivery data.
  • Your store, CRM or chatbot needs to send and receive WhatsApp messages.

Common myths about the WhatsApp Business API

  • "The API is only for big companies." Not any more. Meta's Cloud API is open to small businesses, and providers offer plans for teams of two or three.
  • "I need a developer." Not if you use a provider. With ReploChat you connect through a Facebook login popup and set everything up in the browser.
  • "I'll get a green tick automatically." No. The verified badge is decided by Meta and is not guaranteed by any provider.
  • "Replies are always free." Do not assume this. Meta charges per message by category and country, and its pricing rules change; check Meta's current pricing.
  • "I can message anyone I like." Customers must opt in to receive your messages, and marketing outside the 24-hour window needs an approved template.

FAQ

Frequently asked questions

The app is a free phone app for one business, used by a person on a phone and a few linked devices. The API (WhatsApp Business Platform) has no app of its own: you connect it to software such as a shared inbox, chatbots and store integrations, so many agents and automations can use one number.
Access to Meta's Cloud API itself has no subscription fee, but Meta charges per message by category (marketing, utility, authentication, service) and country, and you need software to use it. Platforms like ReploChat charge a monthly subscription; ReploChat adds 0% markup on Meta fees.
With ReploChat, no: the number must be removed from the WhatsApp Business app before you register it on the API. Back up your chats first.
Old chats from the app are not moved into the API platform. Back them up on the phone before you delete the account from the app, and keep that backup for reference.
Switch when more than one or two people need to answer, when you need automation (AI replies, chatbots, order messages) or when you broadcast to large opted-in lists and need delivery reports.
You need a Meta Business portfolio and a phone number that can receive an SMS or call. Business verification in Meta is recommended and unlocks higher messaging limits. A website helps with verification.
