Message Templates

Create and manage WhatsApp template messages in one place

Write templates with headers, buttons and personal variables, submit them to Meta from ReploChat, and see approvals and rejection reasons without leaving the app.

What a WhatsApp template message is, and when you need one

A WhatsApp template message is a message format that Meta reviews and approves before you can send it. On the WhatsApp Business API you need one whenever you start the conversation: a broadcast, an order update, a follow-up, a birthday wish, or any reply after the customer's 24-hour service window has closed. Inside that window you can reply freely; outside it, it has to be a template.

ReploChat is your WhatsApp template manager. You write the template, submit it to Meta, see whether it was approved or why it was rejected, and use it in the inbox, campaigns and automation, all from one screen.

Categories

Marketing vs utility templates

ReploChat creates templates in the two categories most businesses use. Utility is for messages about something the customer already did: order confirmed, shipped, appointment request received, payment reminder. Marketing is for anything promotional: offers, new arrivals, re-engagement.

Pick honestly. Meta can reject or recategorise a promotional message submitted as Utility, and the two categories are priced differently per message. Templates created in ReploChat are English-language templates.

Approval status and rejection reasons

Every template shows its status from Meta. If one is rejected, ReploChat shows the reason Meta returned, so you know what to change. The usual culprits:

  • Variables with no sample, or samples that do not look like real values.
  • A body that is mostly variables with little fixed text.
  • Promotional wording in a Utility template.
  • Content that breaks WhatsApp's commerce or business policies.

Uploaded header files stay on WhatsApp for 30 days. For a campaign scheduled further ahead, use a link instead.

Who it's for

  • Online stores sending order, COD and shipping messages, many of which the WooCommerce and Shopify integrations send automatically.
  • Marketers who need a library of approved broadcasts ready to go.
  • Service businesses confirming requests and reminding clients after the 24-hour window has closed.
