WhatsApp Template Message Examples That Get Approved (25 Copy-Paste Samples)
25 copy-paste WhatsApp template message examples by category (orders, COD, reminders, offers, follow-ups) plus the rules that get templates approved.
On this page
Every message you send first on the WhatsApp Business API, and every message after the 24-hour window closes, has to be an approved template. That makes good WhatsApp template message examples very useful. Below are 25 samples you can copy, grouped by use case and labelled with the category to choose, followed by the rules that decide whether Meta approves or rejects a template.
Key takeaways
- Pick the right category: utility for updates about something the customer did or asked for, marketing for anything promotional.
- Never put an offer, discount or upsell in a utility template. Meta will reclassify it as marketing or reject it.
- Variables need real-looking sample values, and they can't start or end the message or sit next to each other.
- Short, specific, polite copy with one clear button gets approved most easily and performs best.
- Rejected? Read the reason, fix that one thing, and resubmit. Don't resubmit the same text unchanged.

Why WhatsApp templates get rejected (and how to fix them)
| Problem | Example | Fix |
|---|---|---|
| Promotion in a utility template | "Your order shipped! Use code SAVE10 on your next order." | Remove the offer, or submit it as marketing |
| Variable at the start or end | "{{1}}, your order is ready" / "…your code is {{1}}" | Add words around it: "Hi {{1}}, your order is ready." |
| Variables next to each other | "Delivery on {{1}} {{2}}" | Put text between them: "on {{1}} at {{2}}" |
| Too many variables, too little text | "{{1}} {{2}} for {{3}}" | Write a real sentence. Make fixed words fixed. |
| Missing or unrealistic samples | Sample "test" for a name | Use realistic samples: "Ayesha", "#10482" |
| Vague or misleading content | "You've won! Claim now" | Be specific and honest about the offer |
| Asks for sensitive data | "Send your full card number" | Never request card numbers, passwords or similar data |
| Broken or shortened link | A link shortener or a dead page | Use your own domain and a working page |
| Policy-restricted products | Some regulated goods and services | Check WhatsApp's Commerce Policy before submitting |
Choosing variables and samples well
Variables let one template serve thousands of customers, but each one adds a chance for mistakes. Some rules of thumb:
- Only make it a variable if it changes per customer. Your store name, opening hours or return policy can be fixed text.
- Use named variables when your platform supports them. {{customer_name}} and {{order_id}} are easier to map correctly than {{1}} and {{2}}.
- Plan for empty values. If a contact has no name saved, "Hi ," looks careless. Fill a default such as "there" when mapping.
- Keep samples realistic. Meta reviewers read the sample values to understand the message. "Ayesha" and "#10482" explain the template, while "abc" and "123" don't.
How to create a WhatsApp template in ReploChat
- Open WhatsApp Templates and create a new template.
- Choose the number, the category (Marketing or Utility) and a clear name.
- Add an optional header (text, image, video or document), the body, a footer and up to 10 buttons.
- Insert variables (named or numbered) and fill in a sample for each.
- Check the preview, then submit to Meta. Status syncs automatically, and if Meta rejects it, the reason is shown next to the template.
The full walkthrough is in the message templates guide, and the templates feature page lists everything the editor supports. Templates in ReploChat are created in English.
Tips for templates that perform after approval
- Lead with the useful part. The first line shows in the notification.
- Use buttons instead of "reply 1, 2 or 3". Quick replies are easier to tap and easier to automate.
- Make one template per job. order_shipped and order_delivered are clearer than one template that tries to do both.
- Version your names (_v2) when you change wording, so reports stay comparable.
- Remember the cost. Meta charges per delivered template by category and country. Marketing costs more than utility, so don't send promotions where an update will do. See pricing in Pakistan.
FAQ
How long does WhatsApp template approval take?
Many templates are reviewed within minutes, and some take longer. If a template stays pending for a long time, check the content for the problems in the table above.
What's the difference between marketing and utility templates?
Utility templates relate to a specific transaction or request the customer made, such as an order, appointment, payment or account update. Marketing templates promote, re-engage or upsell. Meta reviews the category and can change it.
Can I edit an approved template?
You can edit and resubmit it, and Meta reviews it again. For big changes, it's cleaner to create a new version with a new name.
Can I use emojis and formatting?
Yes. Emojis, *bold* and _italic_ are fine in moderation. Too many emojis or ALL CAPS can make a message look spammy.
Why was my utility template changed to marketing?
It probably contained promotional wording (an offer, a "shop now", a cross-sell) or wasn't clearly tied to a customer's transaction. Remove that wording or accept the marketing category.
Do I need a template to reply to customers?
Not within 24 hours of their last message. Then you can reply freely. Templates are for messaging first, or after the window has closed.
