WhatsApp Marketing Automation: A Practical Playbook
A step-by-step WhatsApp marketing automation playbook: welcome and away messages, follow-up drips, date reminders, store triggers and sample copy.
On this page
WhatsApp marketing automation means setting up messages that go out on their own at the right moment: a welcome when someone writes for the first time, a reply when you are closed, a follow-up two days after an enquiry goes quiet, a birthday wish, or a cart reminder an hour after checkout is abandoned. Done well, it saves your team hours and makes sure no lead is forgotten. Done badly, it annoys people and hurts your quality rating. This playbook shows you what to automate first, the exact rules to use and sample copy you can adapt.
Key takeaways
- Start with the automations that answer customers, such as welcome, away and AI replies. Only then add the ones that message customers first.
- Anything sent outside the 24-hour customer service window must be an approved template, and the person must have opted in.
- Follow-up sequences should stop when the customer replies, so a human can take over.
- Trigger messages from real events (a new chat, a label, a date, a store order) rather than blasting everyone.
- Measure replies and outcomes, not just sends.
What WhatsApp marketing automation can (and can't) do
On the WhatsApp Business API, automation falls into two groups:
| Type | Who starts it | Message type | Examples |
|---|---|---|---|
| Reactive | The customer writes first | Free-form messages inside the 24-hour window | Welcome, away message, chatbot menu, AI answers |
| Proactive | Your business | Approved template messages | Follow-up drips, reminders, campaigns, order and cart messages |
Proactive messages need opt-in and cost money: Meta bills your WhatsApp Business Account per template message, by category and country. That's why the best automations are triggered by something the customer did, not by a calendar alone.
The automation stack, in the order to build it
1. Welcome message (day one)
Sent once, the first time a new customer writes to you. Its job is to confirm they are in the right place and tell them what happens next.
Hi {name}, thanks for messaging Noor Home Decor! 👋 A team member will reply shortly. Meanwhile you can type MENU to see prices, delivery times and current offers.
In ReploChat this lives under Automation → Welcome & Away.
2. Away message with real business hours
Set hours per weekday and your timezone, and the away message only goes out when you are closed.
Thanks for your message! We're closed right now and open again at 10:00 AM (Mon–Sat). Leave your question here and we'll reply first thing. For order status, just send your order number.
3. Instant answers: AI assistant or chatbot
The first two automations acknowledge the customer. The third one actually answers them. You have two options, and many businesses use both:
- The AI assistant answers free-text questions ("do you deliver to Multan?", "what's the price of the 2-seater?") using only the facts in your business profile, and passes the chat to a human when it doesn't know.
- A chatbot runs a fixed menu: buttons, lists, questions and branches, triggered by a keyword such as MENU or by the first message of a new chat.
In ReploChat, a human agent replying always takes priority. The bot pauses and picks up again after 30 minutes of silence from the agent.
4. Follow-up sequences (the biggest win for leads)
Most lost sales are not "no". They are silence. A follow-up sequence sends a series of templates with delays you choose (minutes, hours or days). In ReploChat you can start one manually from a chat, automatically when a new chat starts, or when a label such as Quote sent is added. Tick Stop when the customer replies so the sequence never talks over a live conversation.
Example "quote sent" sequence:
- After 1 day: "Hi {name}, just checking you received the quote for {product}. Any questions about sizes or delivery?"
- After 3 days: "Hi {name}, the price we quoted for {product} is held until Friday. Want me to reserve one for you?" (quick-reply buttons: Yes, reserve / Not now)
- After 7 days: "Hi {name}, no pressure at all. If now isn't the right time, reply LATER and we'll check back next month."
Each step is a template (usually marketing category), so get them approved before you switch the sequence on. Ready-made wording is in WhatsApp follow-up message templates, and the setup steps are in the follow-up sequences guide.
5. Date reminders
Store a date on the contact (a birthday, an anniversary, a policy renewal or a last-service date) in a custom date field. Then create a reminder that sends a template every year, on the day or a set number of days before.
Happy birthday, {name}! 🎂 To celebrate, here's 15% off anything in store this week. Show this message at checkout or use code BDAY15 online.
Hi {name}, your car insurance renews on {date}. Reply RENEW and we'll send your updated quote today.
6. Store-triggered messages
For online stores, the highest-value automations are tied to orders. Connect Shopify or WooCommerce and send:
- Order confirmation as soon as an order is placed.
- COD confirmation with Confirm/Cancel buttons that update the order in your store, so you don't ship unconfirmed cash-on-delivery orders that come back as RTO.
- Shipped and cancelled updates.
- An abandoned cart reminder (a marketing template). This is automatic on Shopify. On WooCommerce you need a cart-recovery plugin or script that posts carts to the store events API. Copy ideas are in abandoned cart WhatsApp message templates.
7. Campaigns for segments, not everyone
Broadcasts are automation too. Schedule them, and target by label (VIP, Bought in last 90 days, Lahore) instead of your whole list. Opted-out contacts are skipped automatically. Our bulk WhatsApp campaign best practices covers frequency and content.
A 30-day rollout plan
| Week | Set up | Check |
|---|---|---|
| 1 | Connect your number, fill in the business profile, add welcome and away messages, and turn on the AI assistant after testing it | Do new chats get an instant, correct first reply? |
| 2 | Create labels for your funnel stages, get 3–4 follow-up templates approved, and launch one follow-up sequence | How many follow-ups get a reply? Is anyone opting out? |
| 3 | Connect your store and turn on order confirmation, COD confirmation and (on Shopify) abandoned cart | Confirmed versus cancelled COD orders; recovered carts |
| 4 | Import opted-in contacts with labels, add date fields and reminders, and schedule your first segmented campaign | Delivered, read and failed counts per campaign; replies |
Example: one customer's automated journey
Here's how the pieces fit together for a home-decor store that sells online and over WhatsApp:
- Saturday, 11:40 PM: Hina messages about a rug she saw on Instagram. The store is closed, so the away message tells her when the team is back, and the AI assistant answers her question about sizes and delivery to Faisalabad from the business profile.
- Monday, 10:15 AM: An agent picks up the chat from the inbox, sends two photos from the media library and a quote, and adds the label Quote sent.
- Tuesday, 10:15 AM: The label started a follow-up sequence. Step one asks whether she has any questions about the quote.
- Tuesday, 6:00 PM: Hina replies "Can I pay cash on delivery?" The sequence stops automatically, and the agent answers.
- Tuesday, 6:20 PM: She orders on the website. The store integration sends a COD confirmation with Confirm/Cancel buttons, and she taps Confirm.
- Thursday: A shipped update goes out with the tracking number.
- Next year: If she shared her birthday, a date reminder sends a birthday template with an offer.
Only two of those steps needed a person. Every other message went out automatically at the right moment, and none of them was a cold blast.
Which messages should never be automated
Automation should take care of the routine work, not the judgement calls. Keep these with people:
- Complaints and refunds. An automated apology to an angry customer usually makes things worse.
- Price negotiations and custom orders.
- Anything medical, legal or financial that depends on the customer's specific situation.
- Replies to sensitive personal news. If a customer mentions a bereavement or illness, a person should answer.
Make sure every chatbot path has a hand-off to a human, and that the AI assistant's rules tell it to pass these topics to the team.
Writing automated messages people don't mind getting
- Use their name and the specific thing. "Your quote for the oak dining table" beats "your recent enquiry".
- One message, one job. Don't mix an order update with a promotion. It also gets utility templates reclassified.
- Give a simple next step: a quick-reply button or a one-word reply such as YES, MENU or LATER.
- Make leaving easy. Mention that they can reply STOP to opt out. ReploChat processes STOP and START automatically.
- Keep the timing human. Send during business hours in the customer's timezone, and don't send three messages in one day.
Rules that keep your number healthy
- Opt-in first. Only message people who agreed to hear from you on WhatsApp. See opt-in rules and examples.
- Watch your quality rating. Blocks and reports lower it, and a low rating can limit how many people you can message.
- Expect Meta's frequency caps. Meta limits how many marketing messages a person receives from businesses, so some marketing templates won't be delivered to heavily messaged users. Don't retry them over and over.
- Avoid duplicates. If a contact is in a follow-up sequence, leave them out of this week's broadcast.
How to measure WhatsApp marketing automation
Track a few numbers for each automation:
- Reply rate = chats that replied ÷ messages delivered.
- Outcome rate = orders, bookings or confirmed CODs ÷ messages delivered.
- Opt-out rate = STOP replies ÷ messages delivered. If it rises, slow down or rewrite.
- First response time on chats the automation handed to humans.
ReploChat's reports show campaign delivered, read and replied counts and team response times. The ROI guide shows how to turn these into money.
FAQ
Is WhatsApp marketing automation allowed?
Yes, on the official WhatsApp Business API, as long as you follow WhatsApp's Business and Commerce policies: get opt-in, use approved templates for messages outside the 24-hour window, and honour opt-outs. Unofficial bulk senders and modified apps break WhatsApp's terms and often get numbers banned.
Can I automate WhatsApp with the free Business app?
Only a little. The app has a greeting message, an away message and quick replies. Follow-up sequences, chatbots, AI answers, store triggers and scheduled campaigns need the API.
Which automation should I set up first?
The welcome and away messages, then the AI assistant or a chatbot menu. They answer people who already wrote to you, cost nothing to design and improve response time straight away.
Do automated messages cost money?
Template messages are billed by Meta per message, by category and country. From October 2026 Meta also charges service replies above a monthly free allowance. ReploChat adds no markup on Meta's fees.
Does WhatsApp marketing work for small businesses?
It works when messages are expected and useful: replies to enquiries, order updates, timely follow-ups and offers for people who opted in. It doesn't work as a replacement for spam SMS.
